Applied Behavioral Services in West Chester, OH seeking a qualified Administrative Assistant to support the Medical ABA in order to create a cohesive work environment by performing duties including but not limited to answering telephones, directing calls and taking messages, typing reports, and maintaining accurate up-to-date files.


  • Answer incoming phone calls and manage voicemails
  • Oversee and update staff and student absences
  • Set up new client files and scan, audit, update, and maintain all client files, homeschool files and student roster as needed
  • Make copies of information packets as needed for registration, tours, new clients, interviews, etc.
  • Manage lobby area
  • Assist supervisors with dismissal
  • Field calls for potential clients and schedule tours
  • Assist Director with daily tasks
  • Manage bi-weekly inventory and weekly supply and purchase orders for ABS Main building and ABS Annex and audit purchases when needed
  • Gather quotes for professional work done at ABS
  • Maintain and implement building safety drills and checks on fire extinguishers, exit lights, and air filters
  • Audit IEP and ETR Expiration dates monthly and send out notices to directors, supervisors, and specials 
  • Transcribe IEPs to a Treatment Plan Template
  • Organize spirit wear orders
  • Manage social media posts and information
  • Collect medication from parents and record information in medication binder
  • Start all new students in ODE using their applications to complete online profile
  • Review and upload all acceptance forms
  • Create aide and behavioral services forms for all new students and new IEPs
  • Input progress reports into ODE
